Whitchurch Silk Mill

Whitchurch Silk Mill is a Grade II* listed textile mill built around 1815 on the River Test in the small Hampshire town of Whitchurch. It has produced silk yarn and fabric since 1817 and can still weave cloth on machinery which was installed in the late 19th and early 20th centuries. As an Accredited Museum it has kept the skills of weaving alive by operating the machinery for demonstration to the visiting public. The Mill is a Company Limited by Guarantee and registered as a charity.

Location

The volunteer Secretary to the Board can be based at Whitchurch Silk Mill, 28 Winchester Street, Whitchurch RG28 7AL and homebased.

Purpose of the Role

The Trust is seeking to recruit a volunteer Secretary to the Board to assist us with arranging and supporting Board meetings and to help the Board ensure its corporate responsibilities are met.

Key Responsibilities

• Organise Board meetings

• Attend Board Meetings and take minutes

• Prepare minutes after Board meetings ensuring decisions are correctly recorded

• Maintain admin records of the Trustees / Directors

Requirements

• Ability to produce accurate and concise minutes

• Good computer skills, especially Word

• Readiness to carry out the role with a high level of confidentiality

• Well organised and an eye for detail

• Friendly manner, welcoming and efficient and methodical

• Ability to work on own initiative

• Take part in any relevant training

• Adhere to a Volunteer agreement, and Volunteer Policy

• Comply with, and implement, the Equal Opportunities Policy and procedure, together with all other agreed policies and procedures of the Whitchurch Silk Mill

Previous experience of similar roles is in a charitable or community organisation is essential. You should also have access to a home computer or laptop.

Time Commitment

The role of the Company Secretary requires an estimated commitment of on average of ½ day per month. Board Meetings (4 per year) are held on Saturdays 9am to 2pm. The time demands of the role and duties will be concentrated around board meetings. You will receive assistance as required from both Trust Staff and Board members.

Training and Support

You will be given induction training. You will also receive specific induction training for your role. Also, the Chairman and Mill Director will be available for questions and assistance.

Qualifications

You do not need to have any related qualifications for this role but you should be friendly, reliable, trustworthy and have good communication skills.
